ShelterLink is the volunteer rota used by Assisi Animal Sanctuary. This notice says what we hold about you, why, and what you can ask for.

Who to contact

Ask a member of staff at the sanctuary, or use the contact details on the Assisi website.

Your name, email, phone, and a hash of your password. The password itself is not stored.
Profile details the sanctuary asks for: address, date of birth, emergency contact, skills, availability, and foster-home answers.
Shift applications, hours, qualifications, waiver acceptances, foster offers, messages, and references.
A record of staff views and changes to volunteer records, so there is an account of who looked.

To run volunteering: shifts, check-in, hours, and messages.
To keep people and animals safe: emergency contacts, qualifications, and references.
To keep an audit of staff access.

The legal basis for each purpose has not been added to this notice yet.

We do not sell your details. Other volunteers do not see your phone number. Staff can see it on the roster and on your profile.

Inactive volunteer accounts are not removed on a schedule. A period has not been set.
Applications and approved hours are kept. Hours are not deleted, so totals still add up. Your name can be removed from the account.
The audit log is not deleted on a schedule. A period has not been set.
Group booking requests are not deleted on a schedule. A period has not been set.
Password reset links expire after one hour. A scheduled job removes a link once it has expired.

An administrator can export or erase a volunteer account. Erasure replaces your name and contact details and keeps approved hours.

The database is reached through a Supabase Postgres connection configured in the environment.
Email is sent through the SMTP server named in the environment.
Optional browser notifications use the push service configured with the VAPID keys.
